Our story began during a road trip in the 1990s, where our founders, Will and Andy, travelled across America collecting vintage items while living out of motels. They started purchasing vintage clothing in the USA and selling it wholesale, which eventually led to the creation of stores. From there, they began designing reworked vintage pieces, and thus, Motel was born.

The role
The Production Planning and Procurement Manager is responsible for overseeing the efficient coordination of production planning and procurement of materials. This role ensures that production schedules are met, resources are available, and supply chain processes run smoothly to meet design, quality, cost, and delivery targets.
Main tasks & responsibilities
Production Planning
1.Coordinate with production supervisors and team leads for capacity planning to plan procurement requirements
2.Liaise with Procurement & Factory planners to book Fabric capacity and ex-factory dates.
3.Oversee Fabric Flows to make sure we are never out of stock
4.Own the Time & Action (T&A) calendar for each style, coordinating design, sourcing, suppliers and factory to ensure samples, materials, and bulk production flow smoothly and ship on time.
5.Track order status and escalate risks to management.
6.Keep Department management updated on order status and risks.
Cost of Goods (COG) Planning
1.Prepare and maintain seasonal COG plans (forecasted spend on fabrics etc).
2.Work with Accounts to Manage procurement budgets and cost trackers.
3.Analyse variances between planned vs. actual cost; recommend savings.
4.Monitor margin calculations for new developments.
5.Track raw material usage and waste to ensure efficiency.
6.Generate production performance reports and analyze trends. KPIs
Procurement & Purchasing
1.Work with the PRODUCTION SYSTEMS MANAGER to oversee the creation of purchase orders and manage order confirmations, deliveries, and invoices.
2.Monitor inventory levels and place orders to maintain optimal stock.
3.Oversee accurate procurement records and supplier databases.
Administration & Coordination
1.Monitor & maintain accurate records for production, procurement, and inventory to cross reference with our ERP
2.Collaborate with finance, logistics, and warehouse teams to streamline operations.
3.Assist in budgeting, cost control, and process improvement initiatives.
4.Prepare reports and documentation for audits and management reviews.
Process & Reporting
1.Maintain accurate data in ERP/Google Sheets (styles, POs, costs, approvals).
2.Produce weekly management reports on production, COG, and supplier KPIs
3.Lead continuous-improvement projects (waste reduction, lead-time shortening)
Team & Supplier Management
1.Supervise Purchaing Panner & Junior Merchandiser handling fabric & trim buying
2.Provide clear priorities, feedback, and training.
3.Communicate with overseas sourcing agents on supplier performance, pricing, and lead times.
About you
1. 5 years previous experience within either Production planning, Procurement & Purchasing control, Merchandising management, within a fashion retail environment.
2. Strong commercial awareness and timeline planning
3. Excellent communication and influencing skills to manage cross-functional stakeholders.
4. Strong analytical mindset; confident working with production & purchasing reports, WSSI, and stock management systems.
5.Highly organised with the ability to prioritise and manage multiple projects to firm deadlines.
6. Proficient in Microsoft Excel/Google Sheets
7. A proactive, solutions-focused team player
8.Ability to work independently and as part of a team
